Relay Proposals ("we," "us," or "our") is operated by Downs LLC, a company based in Dawsonville, Georgia. This Privacy Policy explains what information we collect, how we use it, and the choices you have.
When you sign up, we collect your email address and name. We use passwordless authentication — we never store or process passwords. Authentication is handled by one-time passcodes (OTP) sent to your email.
When you use Relay Proposals, you and your team create the records that run your bid pipeline: clients and client contacts, projects, bid solicitations, individual bids, bid amounts and margin figures, outcomes and lost-reason detail, competitor information, milestones and key dates, audit-log events, and notes. This data belongs to your organization and is stored to provide the service.
Relay Proposals lets you attach documents to a bid — for example RFPs and invitations to bid, drawings, specifications, addenda, RFIs, estimates, submitted proposals, and contracts. These files are stored in private, access-controlled storage and are only retrievable by members of your organization through short-lived signed links.
Payment processing is handled entirely by Stripe. We do not store credit card numbers, bank account details, or other payment credentials on our servers. Stripe provides us with your subscription status and a customer identifier so we can manage your account.
If you send feedback from within the app, we collect the message you write and any screenshot you choose to attach. We use this only to diagnose issues and improve the service.
We record basic activity data such as your last active timestamp and an in-app activity log of actions taken within your organization (for example, when a bid changes stage or a document is uploaded). We do not use third-party analytics trackers, advertising pixels, or cookies for tracking purposes. Cloudflare, our hosting provider, may collect minimal, privacy-respecting web analytics (page views, country) as part of their standard service.
If you signed up for our pre-launch waitlist, we collected your email address. We use it only to notify you about Relay Proposals availability.
We use the information we collect to provide and maintain the Relay Proposals service, send transactional emails (authentication codes, bid reminders, team invitations), process subscription billing through Stripe, respond to your support requests and feedback, and improve the service based on usage patterns. We do not sell, rent, or share your personal information with third parties for marketing purposes. We will never contact you with unsolicited marketing emails beyond the waitlist notification you opted into.
Relay Proposals is built for commercial construction estimators, and we understand that your pricing, margins, bid amounts, and pursuit history are among your most sensitive competitive information.
We never sell or share your bid data, pricing, or margin figures with anyone. Margin and pricing data is access-controlled within your own organization, and is never shared with other Relay products or any third party without your explicit action. We do not use your competitive bid data to train models or to inform any other customer's experience.
Relay Proposals is part of the Relay product family. If you choose to subscribe to other Relay products, you control whether your clients and projects flow between them. Even then, margin and pricing fields are deliberately withheld from any cross-product data exchange — they never leave Relay Proposals.
We use a limited number of third-party services to operate Relay Proposals:
Supabase (database, authentication, serverless functions, document storage) — hosts your account and application data in the United States. See Supabase Privacy Policy.
Stripe (payment processing) — processes subscription payments. See Stripe Privacy Policy.
Resend (transactional email) — delivers authentication codes, bid reminders, and invitation emails. See Resend Privacy Policy.
Cloudflare (hosting, DNS, CDN) — serves the application and provides DDoS protection. See Cloudflare Privacy Policy.
We do not use Google Analytics, Facebook Pixel, or any advertising or behavioral tracking services.
All data is transmitted over HTTPS with TLS encryption. Our database enforces row-level security (RLS) policies, meaning users can only access data belonging to their own organization. Authentication uses one-time passcodes — no passwords are stored. Uploaded bid documents live in private storage and are served only through short-lived signed URLs. We follow security best practices including Content Security Policy headers, Subresource Integrity on all third-party scripts, role-based access controls, and an append-only audit log that records changes without allowing them to be silently rewritten.
Your data is retained as long as your account is active. If you cancel your subscription, your data remains accessible for 30 days in case you choose to resubscribe. After that period, you may request complete deletion of your organization's data by emailing [email protected]. You can also request deletion of your individual account at any time — see our account deletion page. We will delete all associated data within 30 days of a verified deletion request.
You have the right to access, correct, or delete your personal information at any time. You can update your name, phone number, and notification preferences directly in the application's Settings screen. For data export or account deletion requests, email [email protected].
Relay Proposals is a business application intended for use by professionals. We do not knowingly collect information from anyone under the age of 13. If we learn that we have collected personal information from a child under 13, we will delete it promptly.
We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. Continued use of the service after changes constitutes acceptance of the updated policy.
These Terms of Service ("Terms") govern your use of Relay Proposals, operated by Downs LLC ("we," "us," or "our"). By creating an account or using the service, you agree to these Terms.
Relay Proposals is a web-based bid opportunity management platform and lightweight CRM designed for specialty contractors in commercial construction. The service tracks every bid from lead identification through award, and includes a pipeline manager, client and contact records, document storage, statistics and reporting, and a complete audit trail of the proposal lifecycle.
You must provide a valid email address to create an account. You are responsible for all activity that occurs under your account and within your organization. Organization owners and administrators are responsible for managing their team members' access and permissions, including who may view margin and pricing data. We reserve the right to suspend or terminate accounts that violate these Terms.
Relay Proposals is offered at $99 per month per organization, with unlimited users. New organizations receive a 30-day free trial with no credit card required. Payment is processed by Stripe when you subscribe. You can manage your subscription, update payment methods, and cancel through the billing tools accessible from the Settings screen. Cancellation takes effect at the end of the current billing period — you retain access until then. We do not offer refunds for partial billing periods.
You retain ownership of all content and data you create within Relay Proposals, including your clients, projects, bids, pricing, and uploaded documents. We do not claim any intellectual property rights over your data. We access your data only as necessary to provide the service, troubleshoot issues, or respond to your support requests.
You agree not to use Relay Proposals to violate any applicable law or regulation, transmit malicious code or attempt to compromise the service's security, attempt to access another organization's data, resell or redistribute access to the service without our written permission, or use the service in any way that could damage, disable, or impair it.
We strive to keep Relay Proposals available at all times, but we do not guarantee uninterrupted access. The service may be temporarily unavailable due to maintenance, updates, or circumstances beyond our control. For support, contact [email protected].
Relay Proposals is provided "as is" without warranties of any kind, either express or implied. To the maximum extent permitted by law, Downs LLC shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of data, profits, or revenue, whether incurred directly or indirectly, arising from your use of the service. Our total liability for any claim arising from these Terms or your use of the service shall not exceed the amount you paid us in the twelve months preceding the claim.
These Terms are governed by the laws of the State of Georgia, United States, without regard to conflict of law principles. Any disputes arising from these Terms shall be resolved in the state or federal courts located in Dawson County, Georgia.
We may update these Terms from time to time. When we do, we will update the "Last updated" date at the top of this page and, for material changes, notify active subscribers by email. Continued use of the service after changes constitutes acceptance of the updated Terms.
